Title: Publishing Assistant
Description: The beginnings of Georgetown University Press can be traced to 1964—and we currently publish approximately forty new titles per year, as well as two journals, with an active list of more than 1,000 titles across the fields of languages & linguistics, international affairs, religion & theology, political science, regional studies, and global business and the global economy. These publications primarily service the scholarly community, and many also reach the general reading public. Many help to unite people speaking different languages, literally and figuratively, and all attempt to illuminate, clarify, and respond to the world’s most difficult questions.

The Publishing Assistant is responsible for providing support for the publishing team and Director at Georgetown University Press, performing a number of critical functions and interacting with colleagues throughout the Press. The job also has a virtual office management component. In particular, the incumbent in the role processes contracts, maintains records, and works with acquisitions and rights departments on author relations, including sending proposals/manuscripts for peer review, formatting manuscripts, and processing subsidiary rights and permissions. Additional responsibilities include, but are not limited to:

Serve as liaison with exhibits vendors and conference hosts to manage all aspects of exhibit logistics and to troubleshoot problems as they arise.

Serve as liaison with our distributor for ensuring that shipments are requested and delivered on time as well as that the online order application is set up for each conference and the credit card machines are operational.

Process returns and send excess inventory back to distributor as necessary, accounting for or reporting any shrinkage.

Train and educate staff on use of credit card machines and other best practices and procedures for setting up, taking down, selling books, recording transactions in the booth.

Process author and contributor contracts and permissions requests, supporting the Digital Publish and Rights Manager as needed with regard to rights and permissions.

Support Digital Publishing and Rights Manager in preparing royalty statements and payments.

Input contracts and royalty information accurately in database, maintaining and updating contract templates.

Support the Director’s editorial work by sending manuscripts and proposals out for review and preparing manuscripts for production, providing other editorial and administrative support as the Director may require.

Register and log copyrights for all books, archiving published books and author contracts.

Oversee database entry, maintaining and updating the office manual and procedures.
Requirements: Requirements and Qualifications
High School degree; Bachelor's degree preferred
2-4 years of experience required (or equivalent combination of education and work experience)
Knowledge of Microsoft Office is essential
Service-oriented and self-starting with strong attention to detail
Strong communication and problem solving skills with displayed flexibility
