Title: | Editorial Assistant |
Description: | Job Summary
The Editorial Assistant supports the publications department and the managing editor(s) of one or more of GSA’s publication projects. Editorial Assistant assists with editorial, digital, clerical, production, project tracking, and any other work assigned. Specific duties vary based upon the current projects and publications. Employment Type: Full Time / Non-Exempt Level / Salary Range: US$20.03–$28.04/hr Responsibilities - Assists in editorial and production process (e.g., preparing manuscripts using eXtyles software; pre-flighting figures, tables, and cover art; reviewing copyedited manuscripts; compiling supplemental material; sending manuscripts, figures, tables, and page proofs to authors; proofreading; inputting author corrections; quality checking online proofs); - High-level usage of eJournal Press online manuscript submission and peer-review system, including processing submissions, troubleshooting system, and providing technical support for authors, editors, and reviewers; - Corresponds with authors, reviewers, editors, contract copyeditors and proofreaders, production staff, and others; - Performs administrative duties such as maintaining drives, archiving, tracking and updating publication data (ranging from XML files to simple statistics), and preparing reports; - May act on behalf of a managing editor in their absence; - Other duties as assigned. Working Environment/Physical Activities - May require overtime. - Occasional travel may be required. - Extensive computer work (six or more hours per day). - Multiple projects and deadlines that create a demanding work environment are standard. - GSA is headquartered in Boulder, Colorado, USA, but supports distributed teams. Candidates who are able to work in the Boulder office 2 to 3 days per week are preferred, but fully remote candidates will be considered. Please note that GSA does not provide financial assistance for remote office setup. Requirements: | Job Qualifications
- Bachelor’s degree, preferably in English, journalism, or communications; - Previous editorial experience in a publishing environment. Experience with a scientific, academic, or scholarly publication preferred; - Ability to communicate clearly and work amicably with staff members; scientist authors, reviewers, and editors; and online vendors; - Must have an excellent command of English and familiarity with or the ability to quickly learn scientific terminology; - Experience following a house style guide and the Chicago Manual of Style preferred; - Ability to do many tasks efficiently, balance and complete multiple priorities, and keep track of varying stages and deadlines for different publications; - Strong organizational skills, attention to detail, and comfort with spreadsheets; - Highly proficient in the use of personal computers and applications, including database management, Microsoft Office suite, Adobe Applications, Google Workspace (or similar), file sharing software, and virtual meeting software; comfortable with learning new software and systems; - Knowledge of manuscript submission and peer review systems (e.g., eJournal Press or Editorial Manager, etc.), eXtyles, and the print/electronic publication process preferred. |
