Company Name: BOOKS FOR A BETTER LIFE
Description: Key Responsibilities:
The Special Events intern will work with the Director of Development focusing on the day to day planning of the 19th Annual Books for a Better Life event on March 23, 2015.

Responsibilities will include but are not limited to the following:
• Manage the books submission process between July and October 2014:
o Catalogue all books submitted
o Follow up with publishing houses, agents and books sellers to secure submissions for consideration
o Work with executive committee to source books not yet submitted
o Track payment for submissions.
o Maintain master submission list
o Mange logistics of the nominating committee meeting
o Coordinate book mailing to all judges and incoming votes
• Coordinate all event related mailings and collateral
o Manage co-chair mailing on behalf of honoree
o Manage advertiser mailing
o Update and manage Books letterhead
o Work with marketing to create event invitation, journal and signage
• Oversee Journal
o Ad sales
o Journal layout
o Editorial
• Manage all incoming requests for co-chair packages, event tickets, donations, ads
• Manage all administrative details leading up to the event

o Manage guest list and run in excel
o Create name tags for all event participants
o Invoicing
o Follow ups with publishing houses, agents, committee members
o Assisting with securing advertiser information for journal
o Post event mailing of journals to advertisers
o Post event thank you
o Post event financials


Sustainable/Long Term Outcome: The Special Events Intern will create long lasting partnerships the Chapter will use for years to come, resulting in increased awareness, funding, and participation at future Special events to help the Society to spread the word about MS and to ultimately achieve its goal of a world free of MS.

Training and Support: Initial volunteer orientation is provided along with staff and Chapter introduction and an overview of basic office equipment required to perform this position (i.e. fax machine, copier, etc…). Ongoing feedback and training is available from the Senior Development Manager/ Special Events

Commitment: 2-3 days a week during normal business hours. Office hours are Monday thru Friday 9:00 a.m. to 5:00 p.m. Hourly commitments are flexible depending on availability. Some evening required.
Length of Internship: Through March 23, 2015
Requirements: Skills Needed:
o Strong attention to detail
o Persistent and consistent follow through
o Creative, some graphic design experience helpful
o Proficient in Microsoft Word, PowerPoint, Excel, Publisher
o Great written and verbal communication skills
o Strong planning skills

Qualifications:
• Candidate must be outgoing, personable and have excellent communication skills
• Candidate must be extremely comfortable on the telephone, and be able to make cold-calls to prospective sponsors and donors
• Candidate must be flexible and able to adapt to changing assignments and schedules
• Willingness to pitch in where necessary required
• Ability to contribute new ideas is helpful
• Writing and editing skills
• In-office and event experience, preferred
